How to Design Effective Board Meetings

Board meetings are where major corporate decisions – concerning everything from company policies to management decisions to financial control and the response to crisis – are made. In these meetings, members share their views discuss various ideas, and ultimately guide the organization through business complexity. The most effective boards develop agendas that encourage constructive dialogue and produce results.

The preparation of board members ahead of time is essential to having an effective meeting. Nothing erodes a meeting’s effectiveness more than having participants rush to read important documents during the meeting itself or, even worse, having materials handed out late or not accessible in the first place.

It is helpful to make an outline of the topics that will be discussed in advance so that board members are prepared and are able to anticipate. This allows the chair to concentrate on the most important issues and avoid rehashing subjects that have already been discussed.

Finally, it’s a good idea to kick off the meeting by delivering an inspirational or motivating message that revitalizes the boardroom and sets the scene for a productive discussion. It could be as easy as beginning with a narrative of the company’s achievements or acknowledgment of the individual’s work and board member’s contributions.
